How to submit a collaborative initiative

For professors

For collaborative initiatives to be considered as part of SCAD's Quality Enhancement Plan, lead faculty, in collaboration with the deans, chairs and external partners, must submit the following documents to the Collaborative Learning Center as part of the proposal at least two registration terms prior to course implementation:

An online project submission tool is available for CLC proposals. The following list describes the submission requirements for each section and how they will be uploaded.

1. Profile*

The project profile should include the following:

  • Project title
  • Lead faculty: name, department and contact information
  • Collaborating faculty: name, department and contact information
  • Collaborating departments
  • External partner(s): organization name, liaison's name and contract information
  • Tangible outcome

2. Abstract*

The project abstract should include a concise description of the following information:

  • Project description and goals
  • Alignment of the course with the triptych for collaboration

The project abstract should not exceed 250 words.

3. Narrative*

The narrative should expand on the following areas:

  • Project goals
  • QEP student learning outcomes
  • Department specific student learning outcomes
  • Course description including faculty involved, estimated enrollment and external partner(s)

The narrative should describe the need for the course by considering the following factors:

  • The extent to which the proposed course will provide additional knowledge, expand individual program curricula and enhance student learning in preparation for professional careers.
  • The extent to which specific learning gaps have been identified and will be addressed by the proposed course.

The narrative must explain in detail how the course aligns with SCAD's QEP—a triptych for collaboration—by providing descriptions of the following course elements:

  • Education strategies incorporated in the course to enhance students' collaboration expertise
  • External partner engagement with students in enhancing their learning experience
  • Strategies to recruit students from various disciplines

The narrative section should not exceed 1,000 words.

4. Timeline**

The lead faculty should create a project master timeline to be used as a reference in the construction of individual course schedules. The timeline must include the following elements:

  • Team-building day on the first Friday of the quarter
  • Dates to implement SCAD's collaboration training modules in the first five weeks of the quarter
  • Dates when external partners will be engaging with students
  • Other project related due dates and deadlines
  • Two collaboration assessment dates, one at the beginning and one at the end of the course

5. Assessments**

All courses must have two sets of assessment plans:

  • QEP student learning outcomes assessment

The assessment of the QEP student learning outcomes is developed and provided by the office of institutional assessment. The assessment requires students to complete a pre- and post-collaboration questionnaires, faculty's rating of students' collaboration expertise, and external partners' rating of the collaboration outcomes. Additional assessments may be implemented by the office of institutional assessment as needed. Two required assignments should be dedicated for measuring QEP student learning outcomes. By submitting this proposal the faculty and external partners agree to complete the required QEP assessments.

  • Department specific student learning outcomes assessment

The faculty determines the assessment of department specific student learning outcomes. Description of the methods of assessment and scoring guides should be included.

6. Budget**

For projects that receive external funding, one expenditure budget for the external fund and another one for the $2,000 award should be included. An itemized budget breakdown for each expenditure budget and justification for each relevant budget category listed below must be provided. Following are examples of the relevant budget expenditure categories:

  • Personnel: Salaries and fringes for faculty (e.g. faculty release), staff assistants, and student assistants, or any additional project related personnel
  • Contractual Services: Expenditure related to services provided by other organizations or businesses such as printing services, or stipends for individuals such as students or guest lecturer
  • Travel: Expenditure related to traveling, such as conference registration, accommodations, meals, and transportation
  • Supplies and Equipment: Costs for project related supplies and equipment
  • Awards: Cost associated with providing tuition assistance or competition prizes when applicable

Other budget categories may be provided with justification.

7. Chair's letter of support**

The chair's letter of support needs to state:

  • How the collaborative course will enhance student learning in the department
  • Agreement to provide necessary resources and support for implementing the course
  • Confidence in and support for the faculty based on past experience or faculty credentials
  • Support for ensuring compliance with the QEP assessment requirements

8. External partner's letter of support**

The external partner's letter of support needs to state:

  • How the collaborative course will benefit the external agency as well as enhancing student learning
  • Agreement to provide necessary resources and support for implementing the collaborative course
  • Agreement to play an active role in enhancing student learning as outlined in the course timeline

9. Assurances**

Assurances such as intellectual property rights and disclaimers and contractual agreements must be included for all projects with or without external funding. Additional documents may also be included when necessary. Negotiation with external partners to develop assurance documents must be conducted in collaboration with the director of strategic relationships. It is recommended that the lead faculty contact the office of strategic relationships as early as possible in the proposal preparation process.

10. Other documents**

If applicable, additional documents that support the collaborative project submission may be submitted.
